In light of the recent weather we've been experiencing here in Waltham, MA, this issue is "flooded" with helpful information.

Read about Custom Fiscal Periods - a feature that matches Paytronix's reporting periods to your organization's specific fiscal periods.

Plus, don't miss the Reward Expiration Date article, introducing a new feature that will be available this summer with Paytronix Version v10.1. Motivating your guests to visit you sooner just became easier.

Building Your Loyalty Program ROI

Loyalty programs generate strong financial results by engaging guests and creating powerful incentives that encourage more frequent visits and increased spending. Before you set out to develop a loyalty program that will help you increase guest spending and visit frequency, there are several questions that need to be answered such as: What costs and revenue do I include when calculating my return? And, how do the benefits offset the program costs?

When you find the correct balance between your particular cost structure and your guest preferences, you will be able to achieve and improve upon your program's return. Understanding how you can manage the program levers, including the applicable costs and revenues, will enable you to not only sharpen your return calculation, but also, to build consensus among your internal stakeholders, while developing a financial-gain-maximizing program.

Custom Fiscal Periods

Custom Fiscal Periods enable merchants to quickly run reports that match their restaurant's fiscal period. Configuring Custom Fiscal Periods on your interface opens access to specific reports such as the Stored Value Redemption Profile Report. Spend 5 minutes configuring it now to save time spent adjusting reports to match your accounting group's needs.

The link to set up Custom Fiscal Periods is located on the left navigation area of your user interface. It is the first link under "Program Administration."

Begin the configuration with the first fiscal calendar year you engaged with Paytronix. For example, if you have been a Paytronix customer since 2005, you should start with the 2005 calendar and build forward. This feature does not let you build backward from the current year.

Options for configuration:

  • Select the number of fiscal periods for the year - twelve or thirteen.
  • Establish the pattern in your calendar, e.g., 4-4-5, four weeks, four weeks, five weeks for one quarter.
  • Set your pattern in weeks or days.
  • Adjust catch-up years to reflect the correct data periods.
  • Copy the first year pattern into the next year. It will automatically pick up where the first year left off.

Need some help? Email your fiscal calendar information including whether you operate on calendar months or a fiscal year to churley@paytronix.com and we will set it up for you.

V10.1 Feature Preview - Reward Expiration Dates

In Paytronix's Release v10.1, coming this summer, merchants will be able to set expiration dates at the time any reward is placed on members' cards. With this feature enabled, expiration dates are based on the date the reward is earned.  For example, when a $10 reward is given to a guest for passing a reward threshold on April 15, the expiration date can be set to 90 days in the future.  So, at the end of the day on July 15, any of those unused $10 rewards will be removed from the cards.

Reward expiration information will be displayed on all guest-facing interactions for clear communication. Establishing a sense of urgency by reminding guests of the pending expiration date on the POS receipt, web balance pages, will motivate them to visit your restaurant more quickly.

How it works.

Reward Expiration Dates will apply for all "rewards" assigned through certain rules, the campaign tool, wallet adjustments, bulk wallet adjustments, and registration rewards. The expiration will be viewable by guests and CSRs on the account's transaction history.

What you need to do.

Call Paytronix Customer Support when you are ready to configure expiration dates. After configuration, reward expiration information will display on receipts for merchants using Paytronix v10.1. Some POS systems using Paytronix v10.0 can take advantage of this new feature as well. Don't forget to let your front-line staff know about this change when you make it, so that they can be prepared to answer guest questions.
